Q: I’ve heard of Forums using AI notetakers in their meetings. Do you have any experience with this? My Forum is looking for advice and guardrails.

A: Great question!

I recently facilitated a retreat for a Forum that uses an AI notetaker during their presentations, and it worked exceptionally well. The AI transcription process allowed the speaker to remain focused on what was being shared by other members instead of being distracted by notetaking. The transcription was also extremely accurate, so the most important information was captured.

This Forum was intentional about protecting their confidentiality and the safe environment. They had some nice rules that they included in their Constitution about how to do this, including several great guardrails for any Forum:

  1. The presenter has the ability to say “yes” or “no” to the AI recording.
  2. Only one individual is responsible for capturing the notes. This prevents multiple copies of the notes from floating around.
  3. After the Presentation, the notes are immediately emailed to the Presenter and the original copy in the AI platform is deleted.

Before you try this out, it’s important that all members of your Forum understand and acknowledge that while AI may be 99% secure, there is a 1% probability that it may not be. For this reason, members are given the choice to opt in or out for their individual presentations.
